The Harvest Groups Administrative Assistant provides high-level support to the Executive/Director Pastor of Groups by conducting research, preparing statistical reports, handling information requests, and assisting with Groups training and connection events. He/She performs complex clerical functions such as preparing correspondence, arranging Zoom calls, and scheduling meetings.  They exercise discretion, maintain confidentiality, and deliver results in a timely manner. They serve with integrity, honesty, and knowledge that promotes Harvest’s culture, values, and mission.

  • High level written and verbal communication
  • Knowledge of Microsoft Office Suite.
  • Prepare invoices, reports, letters, and other documents, using Microsoft Office Suite; File Maker and Ministry Platform
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Communicate with people outside of Harvest. Represent Harvest in a positive manner to the public and external sources, by communicating in person, in writing, by telephone, or e-mail.
  • Develop specific goals and plans to prioritize, organize and accomplish tasks.
  • May conduct research, compile data, evaluate contracts and prepare presentations.
  • Attend meetings to take notes and/or record meeting minutes.
  • Read and analyze incoming reports to determine their significance and plan their distribution.
  • Perform general office duties, such as ordering supplies, maintaining records management, and performing basic data reporting.
  • File and retrieve corporate documents, records, and reports using File Maker and Ministry Platform.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • May make travel arrangements for executives, staff, and guests.
  • Maintain Administrative Pastors calendar events.
  • May provide technical assistance to contract providers in the development of proposals.
  • Exercise discretion and maintain confidentiality.
  • A passion for helping people follow Jesus within the context of small groups.
  • Physical requirements, with or without accommodation, include: long periods of sitting, repetitive hand motions due to keyboard typing, answering phones, handling materials, looking at the computer screen for long periods of time
  • Duties are not exhaustive and are subject to change at any time.
  •  Desired Knowledge, Skills & Abilities:  
  •   The ability to learn new software tools such as Planning Center, Wrike, and Microsoft Teams.
