Job Description

Job Summary

The Facilities Administrative Assistant is positioned to serve the Facilities Department with administrative and accounting duties. As well as serving as the Dream Team Coordinator.

Essential Responsibilities & Duties

 
General

  1. Answer and screen incoming calls and emails, including calls and emails for Facilities Director office.
  2. General clerical duties including photocopying, fax, mailing, and filing
  3. Assist in ordering office supplies.
  4. Prepping for meetings.

 

Accounting

  1. Assist Accounting Department with obtaining current vendor COI’s and vendor packets.
  2. Monitor and document utilities usage.
  3. Credit card reconciliation and other accounting responsibilities as assigned.
  4. Enter invoices for remittance process.
  5. Monitor monthly budgets.
  6. Compile budget proposals.
  7. Review monthly vendor statements for accurate payment processing.
  8. Enter receipts and invoices into Builder Trend for Special Projects.

 

Administrative

  1. Organize and maintain electronic files (and physical when necessary).
  2. Ordering keys, maintain key log, and distribute keys to approved personnel.
  3. Department Dream Team Coordinator
  4. Attends Monthly DDTC Meeting
  5. Submit a weekly report.
  6. Mandatory event attendance.

Job Requirements

 
  1. 2 years of administrative experience with an emphasis in accounting.
  2. Degree in accounting, business, or another related field.
  3. Knowledge and intermediate experience with Microsoft Office Suite and general computer skills.
  4. Accounting experience.

  1. Well-developed people skills to serve as an effective liaison between departments. Able to build relationships and help resolve conflict quickly and according to the Bible.
  2. Effective oral and written communication skills.
  3. Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  4. Excellent trouble shooting, problem-solving and creative thinking skills.
  5. Ability to work in a fast-paced environment while meeting critical deadlines.
  6. Exhibit professionalism and maintain confidentiality always.
  7. Flexibility with working in a culture of improvement.
  8. Patience with the research and development of creating and updating events for accuracy.
