Job Summary

Under the supervision of the Human Resources Assistant Director, the Human Resources Administrative Assistant will be responsible for administrative support of day to day HR operations, payroll, and will assist in other various duties as assigned by the assistant director to further advance the ministry.

Essential Responsibilities & Duties

  1. Answer and screen incoming calls and emails, including calls and emails.
  2. General clerical duties including photocopying, fax and mailing.
  3. Maintain digital and hard copy file system.
  4. Schedule and coordinate meetings, agendas, appointments and travel.
  5. Create and/or revise systems/documents as necessary.
  6. Assistant HR Assistant Director with email management and communications.
  7. Complete executive report, termination report, and other reports as requested.
  8. Assist in project management.
  9. Enter invoices, process monthly bankcard statements, and balance credit statements.
  10. Assist with budget review.
  11. Crossed trained to fill in for other HR roles.
  1. Approve and adjust employee time adjustments and time-off requests as needed.
  2. Maintain payroll manual adjustment sheet daily/weekly in preparation for payroll.
  3. Enter manual adjustments in payroll.
  4. Balance pre-payroll process.
  5. Other payroll duties assigned.
  6. Process/coordinate COVID benefits.


Human Resources
  1. Process all incoming Personal Status forms and copy ending destination on PDF form.
  2. Maintain driver applications for employees.
  3. Copy Editor for department.
  4. Process employee terminations in HR systems and coordinate exit interviews.
  5. Prepare termination documentation and exit paperwork.
  6. Manage terminated employee files.
  7. Prepare FMLA documents and coordinate meeting.
  8. FMLA management in HR software system.
  9. Assist in management of HR software systems.
  10. Assist with recruiting, onboarding, and benefits as assigned.
  11. Any other related duties as assigned by the HR Assistant Director

Job Requirements

  1. Highschool diploma, Associates degree preferred
  2. Two (2) years of administrative experience
  3. Any equivalent combination of training and experience
  4. Called to support ministry

Knowledge, Skills & Abilities

  1. Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  2. Ability to work in a fast-paced environment while meeting critical deadlines.
  3. Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment; as well as English usage, spelling, grammar, and punctuation.
  4. Ability to get along well with others and handle confidential matters.
  5. Ability to manage time and multiple priorities to meet deadlines.
  6. Ability to communicate effectively and professionally orally and in writing.
  7. PC skills including Microsoft Office Suite (Excel, Outlook, Publisher, Word, Planner, & Teams).
  8. Must be punctual, pleasant and tactful with professional appearance and conduct.
  9. Exhibit professionalism and maintain confidentiality at all times.
  10. Capacity to interact positively with and provide service to others at all levels within JRC.
  11. Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the general public.
  12. Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  13. Must have strong analytical skills.
