Lead Administrative Assistant - Counseling


Full Time, Non-exempt


Overall Responsibilities:  

Provide administrative support to the Counseling Center Director & Center’s Staff

Key Tasks & Responsibilities:

  • Backup for appointment assistant on phones, assess need, and handle accordingly
  • Oversee and train appointment assistant
  • Maintain appointment calendar for all counselors
  • Create and assist in maintenance of files
  • Collect fees and maintain accounting records and reports
  • Provide statistical reports and track budget expenditures
  • Collaborate on all supportive group functions and needs
  • Maintain ROCK records of Counseling Center participants
  • Keep office and personnel HIPPA compliant
  • Keep counselor licensure, insurance and CEU up to date 
  • Attend periodic support staff training
  • Attend weekly staff meeting
  • Other areas as assigned by Director of Counseling Center

  • Basic Secretarial skills:  copier, phone, printers

  • Willingness to work after hours or on weekends when needed

Experience Required:

  • High School diploma
  • At least 5 years prior work experience required, preferably at the executive level
  • Prior experience in front office of doctor or mental health organization preferred
  • Project management experience helpful
